For Google Drive documents shared with the company domain but set to “Must have link to access” (

), Glean docs state that a user who has already accessed the document should still be able to find it in their personal Glean search. In this case, the reporting user states that they opened the document multiple times in Google Drive, but it still does not appear in their personal Glean results.

Make previously accessed Google Drive documents reliably discoverable in a user’s personal Glean search when:

the user still has source-system access to the file

If that behavior is not intended to be guaranteed, then the product/docs should be clarified and the user-facing/debug signals should make that limitation explicit.

Aligns Glean behavior with the current Google Drive permissions documentation and customer expectation

Reduces confusing cases where a user can open a doc in Drive but cannot find it in Glean

Improves trust in Glean’s permissions/search parity for Google Drive

Glean’s Google Drive permissions docs say a previously accessed document is an exception to normal non-discoverability for link-shared or domain-link-shared docs.

The document’s stored raw permissions show a domain permission with 

, which explains why it is not broadly discoverable.

The reporting user states that they already accessed the document directly in Google Drive several times.

Internal investigation also found that the document ID was not present in Glean’s OpenSearch index, which suggests this may be more than just a discoverability setting issue.

If a user has previously opened a Google Drive file and still has valid access in Drive, that file becomes eligible for that user’s personal Glean search results even when 

The access/view signal is propagated within a defined SLA.

Debug tooling clearly distinguishes between:

permissions mapping/discoverability restrictions

If prior-access discoverability is only best-effort or delayed, update the docs to say that explicitly.

This creates a confusing gap between what users experience in Google Drive and what they expect in Glean. From the customer perspective, “I can open the file in Drive and have already used it, but I still cannot find it in my own Glean search” looks like a product inconsistency.
