Our company is thrilled to be partnering with Glean and gearing up to onboard the platform this year. We know that successful adoption comes from learning from those who’ve already walked the path, and this is where I would love help from the community.

For those who have integrated Glean into your organization:

* What were the key lessons learned during onboarding?
* What strategies or practices made the biggest difference in driving success?
* What outcomes or wins are you most proud of since implementing Glean?

Hi Samantha,

We have a partner company who has helped us with onboarding Glean, that has helped a lot. Do you also have consultants helping or are you tackling it alone?

Key Lessons:

-You'll need to get lots of people involved, specifically IT admins for each data source you want to add, users who can test access (someone who has access to a data source, someone who does not), and champions to explore and learn and report back their tips so that everyone can benefit.

-The M365 connectors (Teams, Outlook, Sharepoint, Onedrive) are a super quick win because Glean's search is way faster and better than Microsoft's for each of these apps.

-People have varying experience with AI chatbots in general, so it's good to start at the very beginning when onboarding users, how LLMs work, benefits and limitations, prompt tips, etc.

-A lot of enterprise employees have been hardened into never sharing sensitive information with AI chatbots, so it takes a little re-wiring habits when using Glean which enables you to do it all - ask any question, upload documents, etc.

-Glean pushes the browser extension for new users, which is a nice feature but I would recommend users get comfortable with the main app first to truly see what it's capable of.

-Glean has a lot of content management tools that are helpful for guiding colleagues to the right documents, having ready-made answers to common questions, etc. Those are great features but more appropriate once users become familiar rather than leading with these tools at the early onboarding phase.

Strategies:

-Gradual roll out to users, one on one trainings with managers, lots of experimenting yourself so you have tips and tricks you can share.

-Agents are powerful but have a high learning curve than chat/assistant, so plan for that.

Wins:

-When people start to realize instead of asking you how to do something in Glean, they can use Glean to ask questions about Glean.

-Being able to find anything from years of Sharepoint document libraries makes Sharepoint fun again.

-Being able to upload multilingual documents to chat with.

-Try the 'Website' data source, you can use any website and Glean will try to index it.

-Just overall having an AI assistant with work context, permissions all in place, no fear of sensitive information leaking, it's a really big win for users.

-Plus Glean now has Nano Banana image generation which makes for some fun interactions with colleagues. :)
